    Responsibilities

    • Schedule and monitor work to meet client needs and achieve efficient resource management
    • Prepare engagement letters and monitor client engagement deliverables to ensure that commitments are met
    • Monitor work in progress to ensure information gets to the appropriate parties in a timely manner
    • Maintain and update client databases in programs such as CRM, STAR, GFR, ShareFile etc.
    • Act as a direct resource for clients by handling routine communications and coordinating resources to ensure a timely response to client inquiries
    • Prepare billings and assist in collections to include setting up client ACH draw process to reduce need for collections
    • Schedule and confirm resources needed for client meetings to enable productive and effective conversations and decision making
    • Act as a liaison throughout the onboarding process to ensure an efficient flow of information and timely client response
    • Track service order requests to ensure appropriate resources are assigned and requests are completed as efficiently as possible
    • Review requests from firm clients for special projects, custom reports, technical training
    • Work with client engagement leadership to provide the client with quotes for any service order requests, including fees and timing
    • Create, proof, edit, and correct documents, memos, and letters for Partners and associates, ensuring timeliness.
    • Provide administrative support to the designated practice groups and/or service lines to ensure deadlines are met, while maintaining a positive, collaborative work environment.

    Qualifications

    • High School Diploma
    • Associates degree preferred
    • 3 to 5 years of experience in a customer/client service role or executive administrative role
    • Requires intermediate proficiency in Microsoft Outlook and Word, and a basic knowledge of Excel and PowerPoint
    • Experience with a multi-line telephone system and a variety of office machines
    • Experience in a professional services work environment
    • Experience training and work delegation
    • Administrative experience in a specific industry line
    • Ability to plan, prioritize, and organize work effectively
    • Ability to work under pressure and time deadlines.
    • Ability to balance many projects simultaneously.
    • Ability to be flexible with schedule to meet workflow demands
    • Strong interpersonal and relationship building skills
    • Strong team player with positive attitude
    • Organized and detail oriented
