    Our Northwest market is looking for a Regional Office Manager to join the team! This individual will be responsible for the efficient operation and management of the Northwest US region’s offices in coordination with the leadership and office coordinators in the region.

     

    Responsibilities

    • Supervise Administrative Staff
      • Assist with assigning responsibilities to administrative support associates while assuring that resources are in balance with workload
      • Conduct associate performance evaluations, take timely action to correct performance issues and to further develop staff and take responsibility for annual action planning sessions
      • Coordinate technical and administrative training
      • Identify staffing needs and work with human capital to recruit, screen and hire new administrative staff
      • Approve schedule, time off and overtime for administrative staff as necessary to ensure region administrative needs are being met
    • Office Administration
      • Coordinate region orientation and on-boarding documents
      • Travel to offices multiple times during the year to provide office administration support
      • Review and approve expense reports as well as coordinate approval of accounts payable for office (or region as necessary)
      • Work with Regional partner in charge to maximize budget efficiencies through cross-regional practices and cost-containment
      • Provide information as needed or requested to various partners, departments, etc. regarding processing of company documents, reports, tax returns, statistical information, and other related items while ensuring work reflects a one-firm image
      • Oversee the standardization of office procedures (filing, mail, etc.), systems, and forms
      • Coordinate office/regional meetings and social events such as leadership meetings, associate parties, opportunity season related events in the region
      • Point of contact for coordination of firm administration management (Human Capital, Finance, Internal IT, Business Development and Marketing
    • Facilities Management
      • Analyze space utilization and recommend revisions as needed for offices within the region.  Work with office designers, architects, and vendors for region remodeling projects
      • Oversee region security and safety 
      • Coordinate with leadership for the selection, purchase, and coordination of office furniture and accessories
      • Coordinate with Internal IT for the selection, purchase and coordination of copy machines, records management systems, telephone systems, etc
      • Arrange for regular office equipment maintenance
      • Oversee the inventory of supplies including approval of supply purchases.  Ensure adequate inventories of all internal forms, tax forms, and other supplies are kept

    Additional Responsibilities:

    • Prepare statistical analysis reports under the direction of leadership.
    • Review aging reports and coordinate collection efforts for past due accounts.
    • Assist leadership with coordination of the regional and office budgets.

    Qualifications

    • Associates degree in administrative support or related field
    • At least 5 years of progressive work experience, including 2 years in a supervisory role
    • Experience with accounting/professional services firms preferred
    • Experience managing associates and operations in a multi-location environment preferred
    • Experience implementing a budget preferred
    • Ability to balance competing priorities and multiple deadlines
    • Ability to effectively operate a variety of office machines, to include a PC, telephone, copier, fax, etc.
    • Ability to create consistent processes and work through others to implement those processes, while ensuring accountability of the team members responsible for the execution of tasks
    • Ability to train and develop others

    Wipfli supports Equal Pay for all.  In addition, in the State of Montana, we are committed to Equal Pay for Women in accordance with Executive Order 12-2016.  The pay range for this role is $55,000 - $75,000.
