Responsibilities

The Administrative Assistant position is an in-person role based in our Eau Claire, WI office. This is a full-time position (40 hours per week), with a Monday–Friday schedule from 8:00 a.m. to 4:30 p.m. CST.

 

 

Responsibilities:

  • Serve as the front office point of contact by greeting clients, answering phones, accepting deliveries, and managing incoming and outgoing mail
  • Maintain a welcoming office environment, including common spaces, conference rooms, hospitality setup, snacks/beverages, and office lunches
  • Support office operations by managing inventory and ordering office, branded, and hospitality supplies, and assisting with general equipment and maintenance requests
  • Assist with planning and executing associate events, office functions, and Fun Committee activities, including gift card processing and event logistics
  • Provide administrative and clerical support to the Administrative Services team and others, including overflow support during peak periods
  • Support centralized administrative tasks such as data entry for credit card coding and other operational support as needed

 

Knowledge, Skills and Abilities

Qualifications:

  • High School diploma or equivalent required; 1-2 years of administrative or office experience preferred
  • Proven client service and front-line customer contact experience, including phone attendant duties and use of multi-line telephone systems
  • Strong verbal and written communication skills with the ability to interact professionally with a diverse group of clients and associates
  • Demonstrate ability to plan, prioritize, and organize work effectively while balancing multiple tasks, meeting deadlines, and working under pressue
  • Proficiency with Microsoft Outlook, Word, and Excel, with the ability to learn and adapt to new software systems and office technology
  • Ability to maintain a professional appearance and demeanor, work collaboratively with team members, operate standard office equipment, and remain flexible with scheduling and workflow demands
